What is a Data Steward?

A Data Steward is the person operationally responsible for ensuring the quality, documentation, accessibility, and regulatory compliance of data within a domain or business area. While the Data Owner makes strategic decisions about data (who can access it, what policies apply), the Data Steward executes those decisions on a day-to-day basis.

The Data Steward role does not necessarily require a full-time position. In many organizations, it is an additional responsibility assigned to senior analysts, data engineers, or domain experts who understand both the data and the business context. What matters is that someone has explicit responsibility for caring for the data in their domain.

Typical responsibilities of a Data Steward include: documenting data assets with accurate descriptions, defining and maintaining quality rules, resolving data incidents, approving business glossary definitions, classifying sensitive data, and coordinating with other stewards to ensure consistency across domains.

According to DAMA International, organizations with active Data Stewards report 40% fewer data-related incidents and a significant improvement in the adoption of governance tools. Without stewards, documentation becomes outdated, quality rules are not updated, and data problems are detected too late.

The Data Steward is also critical as a human point of contact. When a team has questions about data, the steward is the first person to consult. This proximity to the business domain allows resolving questions that no automated tool can answer.

In practice, a Data Steward dedicates part of their time to recurring tasks: reviewing quality alerts, approving changes to glossary definitions, responding to queries from other teams about data in their domain, and participating in documentation campaigns. They also act as a "data advocate" for their area, escalating systemic problems to the Data Owner or the governance committee.

Data governance tools facilitate the steward's work by providing domain-specific quality dashboards, documentation approval queues, schema change notifications, and metadata coverage metrics.
